Administrative Assistant

Reports to: President

Position Summary:  The Administrative Assistant is responsible for performing a variety of general office support functions in a busy social service agency as directed by the President, Director of External Affairs and Director of Development.  The Administrative Assistant has the primary responsibility for processing correspondence, assist with completing requests for funding applications and accompanying forms, management of the SalesForce database and other mailing lists, support of fundraising events and continuing education workshops, special and annual appeal mailings, upkeep of the website and social media sites and design of various flyers, invitations, event programs and other documents as requested.  Salary commensurate with experience.

 Qualifications:        

  • Minimum of a High School diploma
  • Proficient in Salesforce and all Microsoft Suite Programs
  • Familiar with Joomla and Constant Contact
  • Strong ability to multi-task
  • Advanced oral communication skills
  • Highly developed administrative skills
  • Ability to work independently
  • Must be able to work under pressure of deadlines

Primary Responsibilities:

  • Support President, Director of Development, and Director of External Affairs
  • Manage President calendar
  • Management of development donor database and other mailing lists and processing of daily deposit log
  • Process correspondence, including preparation of donor tax letters, confidential letters and documentation
  • Update and manage all donor and board PowerPoint presentations
  • Update and maintain agency website
  • Assist with completion of requests for funding applications, including editing/proofreading
  • Complete special mailings to include making arrangements for timely preparation, packaging, labeling and postmarking
  • Support and participate in all development and community fundraising events, including but not limited to preparing registration sheets, raffle design and room set-up
  • Maintain fundraising and board member documentation as well as communication and meet with members of the Board of Directors and other Board Committees when needed
  • Prepare and execute paperwork/packets and order food for Board and committee meetings

Psychiatric Advanced Practice Nurse

The Josselyn Center, a Community Mental Health Agency in Northfield, IL, is looking to hire a part time APN. Psychiatric APN provides psychiatric evaluation and ongoing psychiatric medication monitoring, and assesses for medication compliance.
